    If your organisation already has a tool (such as Asana or Hubspot) that you feel comfortable using, start a new calendar in that tool. Otherwise, click THIS LINK to make a copy of a Google Sheets Communications Calendar template. Once it is open, follow the instructions below: 

    • Start on the “Calendar” tab.
    • Look at the colour-coded key at the top left of the calendar. Update the channels with ones that your organisation uses to communicate with its audience and stakeholders.
    • If you have multiple stakeholders with a large amount of communication going to each group, it may be helpful to make a copy of the spreadsheet and use one for each of your audiences, such as volunteers, donors, and target audience.
    • Using the colour-coded system, fill in all the communication events you would like your organisation to send out in a month. Consider any special events or campaigns that may be happening. Be sure to also include both organic and paid communications.
    • Next, navigate to the “Descriptions” tab. Use this tab to fill in more details of the communications, including the person assigned to send out the communications, the messaging, and the link to any visuals.
    • Use the “Editorial” tab to track how each communication piece will be created.
    • Share this calendar with your staff and continue to update it to plan and track your organisation’s communications.

    As you plan your communications, remember what you learned about which channels to use according to your organisation’s audience and goals and best practices for social media. Remember to consider your organisation’s SEO as well so that your digital communications are easy to find!
