Let’s see what a 1-month communications calendar might look like for our fictional organisation, Renew Maternal Care (a sub-brand of Renew Ministries). Renew Maternal Care was introduced in other courses within the Identity & Communications Dimension and is a clinic with 2 locations in Southeast Asia providing medical and support services for impoverished pregnant women. Because it is a completely free clinic, it relies on donations as well as revenue from Like New, a thrift store that is also a sub-brand of Renew Ministries. Therefore, Renew Maternal Care sends out communications to its donors and its target audience. Renew Maternal Care is relatively small with only one staff member in charge of communicating with both donors and the women it serves, so it’s best to keep all of the communications on one calendar.
Here is what the Renew Maternal Care’s communication calendar for the first few weeks of May might look like:
Each communication event has a “C” or “D” at the beginning, indicating the audience receiving that communication is either Renew Maternal Care’s audience persona, Chantrea (C), or donors (D). Every colour represents a channel. Red is printed mail, green is Instagram, blue is email, purple is a blog, and yellow is an event (or word-of-mouth opportunity).
In the view above, only the subject line of each communication event is visible. However, each event can be clicked on to view further details, such as the visuals and messaging that will be used and the person responsible for sending the emails and letters, posting on Instagram, making the church announcement, et cetera.
How each communication piece will be created is documented in a separate editorial calendar. That document shows each step in the process that’s needed to create a communication piece and assigns a staff member to complete each step by a certain deadline. This calendar may look more like the following:
Both of these calendars were created using a tool called Asana. This is a great platform for managing communications, but there are many tools available.
